You may have received a message from Cyberfrog Design that look like this:

The following users are near or have exceeded their individual mail quota:
yourname@yourwebsite.co.uk: warn
!! Do not respond to this message. Your reply will go nowhere. !!

or like this:

The account with the username 'xxxxxxxx' (yourwebsite.co.uk), is running out of disk space.
Please remove some files from this account, or ask the administrator to increase your disk quota.
This account has used 92.96% (1859.26/2000.00 MB) of its allocated disk space.
!! Do not respond to this message. Your reply will go nowhere. !!

These messages mean that the webmail that is provided with your website is filling up and old messages will need deleting to create more space. Email messages with attachments take up a lot of space and should be deleted if not needed. Follow these steps to create more space:

  1. Go to www.yourwebsite.co.uk/webmail
  2. Enter your email address and password on the login screen
  3. Click the Roundcube logo which will take you to your webmail inbox.
  4. Delete unwanted messages from your inbox
  5. IMPORTANT! Then go to the TRASH folder and delete them from there as well.

This will create more space in your allocated hosting quota and free up space. You will periodically need to do this to ensure you have enough space to receive emails.

A way to avoid having to do this is to set your email up again as an IMAP account instead of POP on your computer or mobile device. An IMAP account will delete emails off the email server when you delete them from your device.
